Cranleigh RFC Ticket Terms & Conditions and Refund Policy

These Terms & Conditions apply to all tickets purchased for events organised by Cranleigh Rugby Football Club ("Cranleigh RFC", "the Club", "we", "our", or "us"). By purchasing a ticket, you agree to these terms.
Ticket Terms & Conditions
1. Ticket Purchase
1.1. All tickets are subject to availability.
1.2. Tickets may only be purchased through authorised sales channels approved by Cranleigh RFC.
1.3. A ticket is valid only for the event, date, and time stated on the ticket.
1.4. The purchaser is responsible for checking all booking details before completing the purchase.
1.5. Ticket prices are displayed in pounds sterling (£) and include any applicable taxes unless otherwise stated.
2. Admission
2.1. Admission is subject to the holder presenting a valid ticket upon entry.
2.2. Cranleigh RFC reserves the right to refuse admission or remove any person whose behaviour is considered unsafe, disruptive, abusive, intoxicated, or otherwise inappropriate.
2.3. No refund will be issued to any person refused entry or removed from the event due to a breach of these terms.
2.4. Children under the age of 16 must be accompanied by a responsible adult unless otherwise specified for a particular event.
3. Event Changes
3.1. Cranleigh RFC reserves the right to alter event programmes, schedules, timings, activities, speakers, performers, venues, or facilities where reasonably necessary.
3.2. Such changes shall not entitle ticket holders to a refund unless the event is cancelled in its entirety.
4. Cancellation and Postponement By Cranleigh RFC
4.1. If an event is cancelled by Cranleigh RFC, ticket holders will be offered either:
A full refund of the ticket price paid; or
An alternative event date or ticket transfer, where applicable.
4.2. If an event is postponed, tickets will normally remain valid for the rescheduled date.
4.3. If a ticket holder cannot attend the rescheduled date, a refund request may be submitted within the timeframe communicated by the Club.
5. Ticket Transfers
5.1. Tickets may be transferred to another person unless specifically prohibited for a particular event.
5.2. Tickets must not be resold for commercial gain or above face value without the prior written consent of Cranleigh RFC.
5.3. Cranleigh RFC reserves the right to cancel any ticket suspected of being resold in breach of these terms.
6. Photography and Media
6.1. Photographs, video recordings, and live streaming may take place at events.
6.2. By attending an event, you acknowledge that your image may be captured and used by Cranleigh RFC for promotional, marketing, or reporting purposes.
6.3. Anyone who does not wish to appear in such materials should notify event organisers on arrival.
7. Health and Safety
7.1. All attendees must comply with Club rules, health and safety requirements, and any instructions given by Club officials or event staff.
7.2. Attendees participate in event activities at their own risk except where liability cannot legally be excluded.
8. Liability
8.1. Cranleigh RFC accepts no responsibility for loss, theft, or damage to personal property brought to an event.
8.2. Nothing in these terms excludes or limits liability for death or personal injury caused by negligence, fraud, or any liability that cannot be excluded under applicable law.
9. Cranleigh RFC 60th Ball Wristband Policy
Purpose
To ensure the safety, welfare, and effective management of all guests attending the Cranleigh RFC 60th Ball, a wristband system will be used to clearly identify age status and transport arrangements.
All guests must wear their allocated wristband at all times throughout the event. Wristbands are non-transferable and may be checked by event staff at any time.
Wristband Categories
Red Wristband
• Under 18 years old
• Guest is under the age of 18.
• No transport arranged through the event.
• Alcohol will not be served to red wristband holders.
• Event staff and bar personnel will monitor compliance.
Black Wristband
• Under 18 years old with transport
• Guest is under the age of 18.
• Transport home has been arranged through the event.
• Alcohol will not be served to green wristband holders.
• Event staff may check transport details before departure.
Blue Wristband
• 18 years and over, no transport
• Guest is aged 18 or over.
• No transport arranged through the event.
• Eligible to purchase and consume alcohol in accordance with licensing laws.
• Guests are responsible for arranging their own journey home.
Green Wristband
• 18 years and over with transport
• Guest is aged 18 or over.
• Transport home has been arranged through the event.
• Eligible to purchase and consume alcohol in accordance with licensing laws.
• Guests should follow transport departure instructions provided by event organisers
Verification and Distribution
• Wristbands will be issued on arrival
• Proof of age may be requested for any guest who appears under 25 years of age.
• Any guest unable to provide satisfactory proof of age will be issued an Under 18 wristband.
Lost or damaged wristbands must be reported immediately to the event organisers.
Cranleigh RFC reserves the right to amend this policy and take appropriate action to ensure the safety and enjoyment of all guests attending the 60th Ball.
Wristband Verification for Transport
To ensure the safety of all attendees and the integrity of transport arrangements, transport staff and event organisers will check wristbands before boarding.
No Wristband, No Transport
• Guests must present a valid event wristband to board any Cranleigh RFC-arranged transport.
• Any guest not wearing a wristband will be refused access to event transport until their identity and transport booking can be verified.
• If verification cannot be completed, transport will be refused.
Incorrect Wristband
• Guests attempting to board transport with an incorrect wristband colour will not be permitted to travel.
• Wristbands are issued according to age category and transport booking status and must not be exchanged, altered, or transferred.
• Any guest found wearing a wristband that does not correspond with their registered details may have the wristband confiscated and may be subject to further action.
Consequences
• Refusal of boarding on event transport.
• Requirement to arrange alternative transport at the guest's own expense.
• For under-18 attendees, parents or guardians may be contacted to arrange collection.
• Removal from the event for deliberate misuse or fraudulent use of wristbands.
• Potential exclusion from future Cranleigh RFC events.
Transport Terms and Conditions
All passengers are expected to behave in a respectful and responsible manner while using the transport service.
Any passenger who causes damage to the vehicle, its fixtures, fittings, or any third-party property during the journey will be held fully responsible for the cost of repair, replacement, or any associated charges.
Any passenger who is sick, vomits, or otherwise soils the vehicle will be liable for all cleaning, sanitisation, repair, and loss-of-service costs incurred by the transport provider or any third-party transport company.
Where a third-party transport provider imposes charges for damage, cleaning, or other related costs caused by a passenger, those charges will be passed directly to the responsible passenger, who agrees to reimburse the full amount.
By booking or using the transport service, passengers acknowledge and agree to these terms and accept responsibility for any costs arising from their actions during the journey.
The transport provider reserves the right to recover all reasonable costs, including administrative fees, resulting from damage or cleaning incidents caused by a passenger.
Acceptance of Terms:
By travelling in the vehicle, passengers confirm that they have read, understood, and agreed to these Terms and Conditions.
10 . Group Bookings
10.1. A group booking is any booking made for 10 or more tickets purchased as part of a single transaction, unless otherwise stated for a specific event.
10.2. The person making the booking ("Group Organiser") is responsible for:
Ensuring all members of the group are aware of and comply with these Terms & Conditions.
Providing accurate booking information.
Acting as the main point of contact for all communications relating to the booking.
10.3. Group discounts, where offered, apply only to qualifying bookings and cannot be applied retrospectively after tickets have been purchased.
10.4. Group bookings must be paid for in full at the time of booking unless alternative arrangements have been agreed in writing by Cranleigh RFC.
10.5 Tickets within a group booking may be transferred to other attendees provided the Group Organiser remains responsible for compliance with these terms.
10.6. If a group booking includes reserved seating or allocated areas, Cranleigh RFC will make reasonable efforts to seat or place group members together but cannot guarantee this unless expressly stated.
10.7. Requests to amend the number of attendees after purchase may be accommodated at the Club's discretion and subject to availability.
10.8. Where a group booking discount has been applied and subsequent cancellations reduce the booking below the qualifying threshold, Cranleigh RFC reserves the right to recalculate the booking cost and deduct any discount no longer applicable before processing any approved refund.
The ticket holder can no longer attend.
Travel, accommodation, or personal arrangements have changed.
Bad weather occurs but the event proceeds.
The attendee is refused admission due to misconduct or breach of Club rules.
The attendee arrives late or fails to attend.
Cancellation by the Ticket Holder
Cranleigh RFC understands that plans can change. The following refund policy applies to cancellations made by the ticket purchaser before the event date.
Notice Given Before Event Refund of Ticket Price
More than 60 days 75% refund
31 to 60 days 50% refund
15 to 30 days 25% refund
8 to 14 days 10% refund
7 days or less No refund
Conditions
1. Cancellation requests must be submitted in writing by email to the Club's designated ticketing contact.
2. The date and time the cancellation request is received by Cranleigh RFC will determine the applicable refund percentage.
3. Any booking fees, transaction fees, or third-party processing charges are non-refundable unless the event is cancelled by Cranleigh RFC.
4. Refunds will be processed to the original payment method wherever possible.
5. No refunds will be issued for non-attendance without prior cancellation.
6. Cranleigh RFC reserves the right to consider exceptional circumstances, such as serious illness or bereavement, on a case-by-case basis. Supporting evidence may be requested.
Group Booking Cancellations
For group bookings:
• More than 60 days before the event: 75% refund of cancelled tickets.
• 31 to 60 days before the event: 50% refund of cancelled tickets.
• 15 to 30 days before the event: 25% refund of cancelled tickets.
• 8 to 14 days before the event: 10% refund of cancelled tickets.
• 7 days or less before the event: No refund.
Where a group booking discount has been applied, and cancellations reduce the booking below the qualifying group size, Cranleigh RFC reserves the right to recalculate the booking at the standard ticket rate before applying any refund.
Club Cancellation
If Cranleigh RFC cancels an event, ticket holders will receive a 100% refund of the ticket price paid or may be offered the option to transfer their booking to a rescheduled date or alternative event.
This scale provides a fair balance between customer flexibility and protecting the Club from losses incurred through advance event planning and catering commitments.
Payment Plans
Payment Plan Terms
1. Where Cranleigh RFC offers a payment plan, the purchaser agrees to pay all instalments by the agreed due dates.
2. Tickets purchased through a payment plan are considered a commitment to attend the event and enable the Club to make financial commitments in advance.
3. Failure to make scheduled payments may result in the cancellation of the booking and forfeiture of any amounts already paid.
4. Full payment must be received before tickets are issued or attendance is permitted, unless otherwise agreed in writing by Cranleigh RFC.
Payment Plan Cancellation Policy
No refunds will be provided for tickets purchased on a payment plan.
If a ticket holder chooses to cancel their booking after entering into a payment plan:
• All payments already made are non-refundable.
• Any outstanding instalments may remain payable in accordance with the payment plan agreement.
• The booking cannot be transferred to a future event unless expressly agreed by Cranleigh RFC.
• Exceptional circumstances may be considered at the sole discretion of the Club but there is no obligation to provide a refund or credit.
Event Cancellation Exception
If Cranleigh RFC cancels the event entirely and no suitable alternative or rescheduled event is offered, all payments made under a payment plan will be refunded in full to the original payer.
Example: If a member has paid £100 of a £200 payment plan and later decides not to attend, the £100 already paid will not be refunded, and any remaining payments may still be due under the payment plan terms. If Cranleigh RFC cancels the event, the full £100 paid will be refunded
Refund Requests
Refund requests must be submitted in writing to the contact details provided by Cranleigh RFC.
Requests should include:
Purchaser's name:
Booking reference:
Event name and date:
Reason for the refund request
Approved refunds will be processed using the original payment method wherever possible.
Processing Time
Approved refunds will normally be processed within 14 days of approval.
